✅ What Action Items are?
Action Items, a native Jira feature, are lightweight, checklist-style tasks embedded directly within your Jira issues. With this functionality, you’ll be able to create and manage smaller tasks in a more intuitive and less formal way. They’ll live within the description, comment, and other rich text fields. Read more
With our app, Easy Action Items, you can create checklist templates in no time and apply them manually or automatically to your Jira issues.
🏗️ Create an Action Items | Checklist template
Action items | Checklist templates are created and scoped per single Jira project. Would you need “Global” templates and use a single template across multiple projects - Let us Know!
Permissions: You need to have a Project Admin role to Manage Action items | Checklist templates
To create and update the template, follow the instructions below:
Navigate to Jira Project
Go to Project Settings -> Apps → Click “Easy Action items”
You’ll get to the templates management page
Click “New Template” button and follow the instructions to create a new Action Items template
5. In order to Automate Action Items | Checklist template - check the section below
☑️ Apply Action Items | Checklist template manually
Go to Jira Issue where you want to add a checklist from the Action Items template
Click “..” 3-dot menu
Find the “Action Items templates” menu item
Choose a template to import and click “Apply”
Your template will be added to the description of Jira Issue
In this example, you have the Definition of Done checklist appended to the Jira User Story.
🤖 Automate Action Items | Checklist template
With Easy Action Items app you can automatically apply native Jira Action Items | checklists templates to Jira issues based on specific triggers and conditions.
Available Triggers:
Issue Created – Executes the automation when a new issue is created.
Issue Updated – Executes the automation when an existing issue is updated.
Available Conditions:
Issue Types – The automation applies only if the issue belongs to the specified issue type(s).
Issue Labels – The automation applies only if the issue has one or more of the specified labels.
To enable automation - choose one of the available triggers. Condition is not mandatory.
How Triggers and Conditions Are Evaluated
Triggers and conditions are evaluated using an "AND" logic – meaning all defined conditions must be met for the automation to execute.
Within a single condition (Issue Types or Issue Labels), multiple values are evaluated using "OR" logic – meaning the issue can match any of the specified issue types or labels.
Example Scenarios
Trigger: Issue Created
Conditions:Issue Type: Bug, Task (evaluated as Bug OR Task)
Labels: Urgent, High-Priority (evaluated as Urgent OR High-Priority)
Logic:
The automation runs if an issue is created AND it is either a Bug OR Task AND it has either the Urgent OR High-Priority label.
Trigger: Issue Updated
Conditions:Issue Type: Story, Epic
Labels: Customer-Request
Logic:
The automation runs if an issue is updated AND it is either a Story OR Epic AND it has the Customer-Request label.
FAQ
Can I automate multiple templates using the same trigger or condition?
Absolutely! You can apply multiple templates using the same trigger and condition (e.g., on Issue Creation). These templates will be added to the Description field in the order of their names.
Can I use the same template across multiple projects?
Not yet, but this feature is on our roadmap! If this functionality is important to you, please let us know through our customer portal and share the details of your use case. Your feedback helps us prioritize features that matter most to our users!
